About the Role

We are seeking a professional and enthusiastic Business Administration Apprentice to join our Orthodontic practice. This is an excellent opportunity to begin your career in business and people administration within the healthcare sector.

You will play a key role in supporting the day-to-day running of the practice, with a particular focus on HR administration, compliance, and staff coordination. Alongside your work, you will complete a Level 2/3 Business Administrator Apprenticeship, gaining valuable skills and experience to build a strong foundation for your future career. This will lead into specific HR training on completion of the BA foundation.

Key Responsibilities

Human Resources & Compliance

  • Support the recruitment process, including drafting job adverts, scheduling interviews, and communicating with candidates.
  • Assist with on boarding new team members — preparing contracts, collecting documentation, and organizing inductions.
  • Maintain accurate and confidential employee records in line with GDPR and CQC standards.
  • Track staff training, professional registrations (e.g., GDC, DBS), and ensure compliance records are up to date.
  • Help coordinate staff rotas, leave requests, and sickness absence records.
  • Assist with HR reporting, performance review documentation, and policy updates.

General Administration

  • Manage phone calls, emails, and correspondence efficiently and professionally.
  • Support the Practice Manager with diary management, meetings, and minute-taking.
  • Maintain and update digital filing systems, spreadsheets, and practice databases.
  • Prepare reports, letters, and presentations as required.
  • Liaise with suppliers, external partners, and other departments to support smooth practice operations.

Social Media & Communications

  • Support the development of the practice’s online presence across Facebook, Instagram, and LinkedIn.
  • Create and schedule posts that highlight practice news, community involvement, staff achievements, and patient-friendly updates.
  • Ensure all social media activity reflects a professional, ethical, and caring image of the business in line with GDC and NHS communication guidelines.
  • Monitor engagement and provide ideas to improve reach and consistency across digital platforms.
  • Collaborate with the management team to align online content with the practice’s brand and values.

Team & Patient Support

  • Provide friendly and professional front-of-house or back-office support as needed.
  • Ensure confidentiality, accuracy, and professionalism in all interactions.
  • Uphold the practice’s values, commitment to patient care, and compliance with regulatory standards.

Skills & Attributes

  • Strong organizational and administrative skills.
  • Interest in HR, people management, and healthcare operations.
  • Excellent written and verbal communication.
  • Basic understanding of Social Media platforms and marketing communication.
  • Attention to detail, particularly with confidential or compliance-related data.
  • Confident using Microsoft Office or Google Workspace tools.
  • Able to multitask and prioritise workload effectively in a busy environment.
  • Professional, approachable, and eager to learn.

Qualifications

  • GCSEs (or equivalent) in English and Maths at grade 4/C or above (required).
  • No prior experience needed — full training will be provided.
  • A genuine interest in developing a career in HR or business administration within the healthcare sector.

Training & Progression

During your apprenticeship, you will:

  • Complete the Level 3 Business Administrator Apprenticeship with tailored HR learning opportunities.
  • Receive ongoing support, mentorship, and structured development within the practice.
  • Gain hands-on experience in HR processes, compliance, and healthcare administration.
  • Have potential to progress into roles such as HR Assistant, Practice Coordinator, or Office Manager upon completion.
